4 Tips for a Better New Hire Onboarding Experience

Let’s face it, we all want our new employees to get up and running as quickly as possible. Often the first few days for a new hire involve the completion of a rather daunting pile of paperwork, placing names with faces, getting the necessary equipment for their work areas and finding out where to grab a decent cup of coffee. Overall it’s full of headaches and plenty of confusion. As we all know, time is money. What can we do to get them productive as soon as possible without sacrificing a great experience for them?
Have necessary paperwork done prior to day one
Rather than having your new sales rep completing paperwork in the break room for a few hours, why not have them complete it before they start? They can tackle the paperwork drudgery in an environment where they can look up information they might not have thought to bring with them, such as a spouse’s social security number or the license plate of their new Subaru Outback.
Collect once and automate
It’s a universal fact: no one likes to complete the same forms over and over again. How many of your new hire forms ask for the same information, such as an address or social security number, multiple times? They may go through different channels, such as IT, payroll or even facilities, but it’s a big waste of time for all involved. Collect only the information you need and carry that over to other forms that require the information. Technology works great on this front. Scrap the paper and embrace the paperless society we all live in.
Embrace the benefits of the paperless workplace
Do you remember the last time you were asked to complete “just a few new hire forms” only to be presented with a stack of 10 to 12 of them, each packed with anywhere from 20 to 30 fields? I bet your writing hand winced at the thought, didn’t it? It’s no longer 1992 and the digital revolution has been here for a while. Leverage the power of online forms and workflows to remove the hassle and headaches. Not only does it make the process a bit more approachable for your new hires, you won’t have to input those responses into whatever backend system you are running. Additionally, many of us lack something called “legible handwriting.” Imagine never having to decipher if that entry in field #43 is an “i” or a “t.”
Connect the employee with a guide
Think back to the day when you were the new kid at school. You had to figure out where the cafeteria was, which clique to socialize with and which teachers to avoid. It was kind of tough to do by yourself, wasn’t it? The same applies to starting a job at a new company. Look at rolling out a program partnering established employees with new ones. It’s like having your own personal guide to the new company culture.
Overall, these tips will help your new hires get up to speed more quickly, improve their experience and make your life substantially more stress-free. You have numerous other things to worry about as a HR professional. Why not take a little off that plate of yours?
